Midlands State University (MSU), through its Postgraduate Studies Office, reinforced its commitment to digital transformation and efficient postgraduate administration following a two-day induction workshop for Departmental Chairpersons focusing on the University’s digital postgraduate application processing and management system.
The workshop, held on 8 and 14 October 2026 brought attention to the critical role of Departmental Chairpersons in facilitating the timely processing of doctoral applications, strengthening academic oversight and ensuring compliance with University postgraduate regulations.
The initiative forms part of the University’s broader digitalisation agenda, which seeks to modernise postgraduate administration, reduce dependence on manual processes, enhance institutional accountability and improve service delivery to postgraduate students and academic staff.
A central focus of the workshop was familiarising Departmental Chairpersons with the operational requirements of the online Postgraduate Studies Management System, particularly the processing of applications from initial submission through departmental and faculty consideration to the relevant University approval structures.
Participants were taken through the postgraduate application workflow, including the verification of applicants’ academic qualifications, assessment of research concept notes, consideration of proposed supervision arrangements, formulation of departmental recommendations and submission of the required supporting documentation.
The induction emphasised the importance of ensuring that applications are processed within prescribed timelines and that recommendations are supported by complete and appropriately verified documentation.
The workshop also highlighted the responsibilities of Departmental Chairpersons in maintaining the academic integrity of postgraduate admissions by ensuring that proposed research projects meet disciplinary expectations and that suitable supervisory expertise is available.
The practical component of the workshop focused on the functionality of the digital platform and its application to everyday postgraduate administration.
Commenting soon after the workshop, Dr U Saidi, the Postgraduate Studies Manager, said, “Digitalisation, in this case, is not simply the replacement of paper-based processes with electronic systems, but a broader institutional transformation requiring accountability, responsiveness and coordinated decision-making across academic and administrative structures.” It was emphasised that the system is designed to strengthen the traceability of decisions, improve access to application records and facilitate more effective monitoring of postgraduate processes.
Beyond the technical aspects of the platform, the induction provided an opportunity to reinforce the University’s postgraduate regulations and the institutional responsibilities associated with research-degree admissions.
One of the Departmental Chairpersons, Dr. E. Mutema – Department of Governance and Public Management commented after the workshop, “This workshop has been an eye-opener. Beyond familiarising us with the digital platform, it clarified our responsibilities in postgraduate admissions and supervision. We now better appreciate how digitalisation can improve efficiency, transparency, and accountability while reducing delays in processing applications.”
The induction workshop represents an important step towards MSU’s drive to embed a culture of digital accountability within postgraduate administration and to equip staff involved in doctoral application processing with the knowledge and practical competencies required to manage applications effectively.
Through initiatives of this nature, the University continues to advance its commitment to institutional innovation, academic excellence and a postgraduate research environment that is efficient, responsive and aligned with contemporary higher education management practices.
